Our Process

Rustic Elegance Event Rentals’ (REER) goal is to create your Vision and your Style within your Budget. We take the stress away from decorating! We can even stay at your event and set everything up for you, which we love to do!  We are at your service!

Initial Consultation and Design Appointment

Schedule a free consultation at our storefront studio to view our inventory. We’ll discuss your needs, your budget, your theme and vision, as well as the date and location of your event.

Rental Selections

We will provide you a quote for your selected items and services. Lock in your items and event date by signing a rental contract with a 50% deposit.

 

All rental prices are for 5 day use; however, long-term rental rates are available. Mondays are typically return days.

 

After you make a deposit and sign your contract, some changes are possible to your rental selections. Depending on availability, you can add to your order, or swap for alternate items. Refunds are not issued.

Agreements

Deposit and Payments

In order to reserve your date and rental items, a deposit of 50% of your rental total is required via credit card payment. You must also provide a credit card on file with the signed rental contract.

 

The credit card will be used for damages, missing items, late and replacement fees, or added services as outlined. Agreement must be in the credit card holder’s name.

 

The remaining balance is due 30 days before your pick up date or Event dafe. If you are reserving items less than 30 days before your pick up date, the full amount is due at contract signing.

 

If your rental fees are $175 or less (not including taxes, fees, or delivery/pick up charges), the full amount is due at contract signing.

 

REER accepts Visa, Master Card, Discover and American Express for a 4.5% fee.

 

State and local taxes apply.

 

 

No services contained in this agreement will be rendered, delivered, or made available if

balance is not paid in full 30 days prior to your event pick-up date. If the credit card on

file becomes invalid, expires, or we are unable to authorize it, your non-payment will be

considered a breach of agreement, and all previous payments are forfeited.

 

If for any reason REER is forced to contact a collection agency, small claims court, or hire an

attorney, you will be responsible for fees to cover these costs.

Rental Selections

After signing the rental contract, you may add to your order or swap items, depending on availability, but refunds are not issued.

 

If the Renter’s quantity of items are reduced to less than the reservation’s original rental

quantity, the 50% non-refundable deposit will not be returned based on the quantity reduction. Change of quantity less than four (4) weeks in advance will have the full rental price charged as agreed upon. REER will have the sole discretion to waive or reduce this charge.

 

Once the agreement is signed, and your event date scheduled, all other clients have been refused your specific rentals and services for your event date, and thus all payments are non-refundable. 

 

REER shall not be subject to any liability because of acts of war (whether or not declared), terrorism, strikes, accidents, fires, acts of God or any other circumstances not within the control of REER. 

 

REER does not issue refunds for inclement weather. The client assumes all risks and

hardships involved with holding an outdoor event, including weather interfering with the pick up or delivery of rental items. Arrangements can be discussed if the event date is rescheduled.

 

Your deposit for rental items is transferable when necessary. If you must change dates, or other circumstances change, Rustic Elegance Event Rentals will do the best we can to fulfill our contract.

 

If you do choose to cancel your contract, notice must be received in writing no later than four weeks prior to the event. You would not be obligated to pay the balance of your invoice, less completed customized or special ordered items (which would be designated such on your event order).

 

Delivery

 

Delivery fees are based on one round trip for ground floor delivery within 30 miles of Kansas City. The number of items and their bulkiness is also taken into account. 

 

If your ceremony and reception are in two separate locations, additional delivery fees will apply.

A responsible party must be present upon delivery to sign the invoice and accept the items.

 

Delivery includes drop-off on Friday or Saturday and pick-up on Sunday. Additional fees required for same-day pick-up/deliveries, those taking place before 8am or after 5pm, or on REER-observed holidays.

 

Delivery does not include set-up and tear-down. Those services are available from REER for an additional fee. If those services have not been retained, Renter is responsible for setting up, tearing down, including repackaging, all rented items.

Care Instructions

Renter is responsible for care of rented items. Renter assumes responsibility for all rental items ordered upon possession. Renter must review any special operating or care instructions for rental items. Renter must sign that all items on the booking have been received. Renter should immediately report any issues regarding rental items.

 

All items must be protected from rain and any adverse weather conditions. Rentals must be transported in an enclosed portion of a vehicle. Bulky orders must be transported in a full-size pick-up, enclosed vehicle, van, covered trailer or box truck. No flatbed trailers are allowed for transport of any rental items. Tarps are not acceptable as an alternative to an enclosed vehicle. All rental items must remain dry. Any customer not arriving for pick-up of rental items under the above terms will be required to reschedule time of pick up.

 

All items must be returned in the same condition as they were rented. Items must also be packed as they were received. Fees will be incurred if packing materials are not returned with your order.

 

Glass and metal vases must be hand rinsed before returning. Please refrain from using harsh

detergents or tools (especially on our mercury glass or gold-rimmed vases). 

 

Please avoid leaving water on or in metal objects to prevent rusting.

 

Please empty all vessels and remove all debris from items before return.

 

We require LED candles to be used with our candleholders. If you use real candles, and wax is left on items, there will be a damage fee of $8 per item.

 

If using mirrors or window panes for signage, writing must be wiped clean before return. Mirrors or window panes returned with writing will be subject to a $5 fee per item. Chalkboards, however, can be returned with writing, as we repaint after each rental.

 

Wine Barrels: As these barrels weigh 129 pounds each, the renter must provide a hand truck/dolly, or two strong individuals to transport the barrel. If you do not have the dolly or two strong individuals at your pick-up or return time, it will be rescheduled. If reschedule time is outside of the 5 day rental window, an additional rental fee will be applied. Renter agrees to never roll the barrels. As with all rental items, the barrels must be transported inside a trailer or interior of a vehicle. Alternatively, you may opt to have REER deliver and return the barrel(s) for an additional fee.

Lost/Damaged/Stolen

The renter is responsible for all damaged, lost, altered, or stolen items. Full replacement costs will be charged for items that are not returned, or are returned chipped, cracked, torn, soiled, stained, burnt, or otherwise irreparably damaged.

 

Rental items are considered lost or unreturned if the Renter does not return the rental item(s)

by the return date. An additional rental period charge may be incurred if items are not returned

on time. If items are still not returned after the additional rental period, items are assumed lost.

You will be invoiced for the replacement or service charges if the rental item(s) are not

returned or is returned damaged. Your card on file will be charged.

 

If items are returned with damages, or items are missing, REER will notify Renter within one week of return. Photos of damages will be provided upon request. If damaged items are not paid for within 7 days, the credit card on file will be charged. Damaged items are held for 10 days, unless client makes arrangements to come pick them up. After 10 days, items are discarded and client gives up rights to the item(s).

 

Refundable deposits for rental items will only be determined after inspection of the returned items.

 

If REER is unable to fulfill the rental terms of your contract due to another client not returning items, or returning items damaged, we will make every effort to find a suitable replacement. If that is not possible, a full refund will be given.

Privacy Policy

Because your privacy is important to us, we protect your personal information to ensure that it remains secure. REER does not sell any information to third parties. Any information that we collect is for private use between the Renter and REER. Credit card numbers will be destroyed after rental terms are satisfied.
